JS17 Importing Excel Spreadsheet into EngageMore

Now that you have cleaned up your exported Excel Spreadsheet, you are ready for the fun and easy part of importing your leads fast and efficiently.  If you have not already cleaned up your spreadsheet, be sure to watch that training video now.  You DO NOT want to try to hunt and peck and clean up after the import because it is much quicker to do that right on your spreadsheet... trust me!  

If you also need instructions on exporting your database, be sure you watch this lesson too because you want to export your leads in an organized manner for quick clean up later. 

Please note that the import tutorial video below was recorded prior to the new Navigation update of April, 2022, so be sure you know that you now navigate to the import page as follows:

If you make a mistake with your import and want to start over, click on the Delete Import Batches button on this screen.  You can also export your contacts on this screen as well, but be sure you have sent in the contacts via Client Touch before you start exporting your contacts.  Learn more about Client Touch HERE.

IMPORTANT: If you have extensive notes that you want to bring into your database (more than 240 characters), it will be important for you to watch the training video below FIRST to import your contacts and then watch Step 2 video here to import your notes.  WATCH STEP TWO NOTE IMPORT LESSON HERE

NOTE:  If you follow the training for exporting and cleaning up your database, you already have columns pulling in for source, status, contact types, etc. Thus, in this case, you want to be sure you check this box to pull in YOUR columns. For that reason, you do not need to do anything with the dropdowns at top.  Just leave them blank.

Okay.. so now comes the fun part... let's get you started importing your leads into your new EngageMore database.

NOTE: To import your table, you must use an Excel spreadsheet saved as a Comma Delimited file.  If you are an Apple/Mac user, you may find this online converter helpful to go from a Numbers table to an Excel table: https://www.online-convert.com/   If you need help converting your table, be sure it's cleaned up and ready to go and then send it in to support@engagemorecrm.com for help converting it. To import your Excel Spreadsheet, go to your setting Icon in the upper right hand corner and click the drop down.  Choose Data Migration:

Choose Import:

Click Import Contacts.  If you also have extensive Notes to import, be sure you check out the two-step Note Import training HERE

If you follow the Clean-Up instructions we provide, we suggest you do not use the Assign area.  Skip that and check the Advanced Options box so your status, source, contact type and flags columns from your table import correctly.  We also recommend you click the last box regarding duplicate leads. 

Choose your Excel (comma delimited) spreadsheet from your computer to upload and click next: 

Match up the fields you want to import - be sure the items from your table (on left) match the field within the dropdown in EngageMore CRM (on right), as an example, see the State example in the red box below. The phone columns must match exactly to import.  See tutorial video for further explanation about importing phone, spouse and birthdays.  When matched up, click the blue Import button.  Then wait, this could take a minute or more depending on the number of contacts you are importing. 

After the import, you will be prompted to send the import to Client Touch.  Do it!

VERY IMPORTANT: Within Client Touch, be sure you run the Optin Wizard to Optin Emails, Verify Emails and Optin Phone Numbers for texting appropriately.  Be sure you follow the guidelines for opting in and validating your contacts!!!  Learn more about the EngageMore CRM permission sending rules HERE.

Now, go to your contact list and check to see that all your contacts arrived and were opted in.  If you see Green emails and Bubbles next to phone numbers, you did it!
