6-Using Autoresponder for Bulk Drip Flow Sends

So you have a group of similar prospects and you want to turn on a Drip Flow campaign to a number of similar leads that may already be in your database. The next step is to send all your leads to Client Touch and with a click of a button you can turn on the campaign for a number of your leads at once.  This lesson will show you how to do this using Autoresponders with a Competition Assistant to your Drip Flows.  Don't miss this lesson, it's very important when setting people up on flows in bulk.

IMPORTANT:  If you create your own Drip Flow to add to the completion assistant of the Autoresponder, simply add the first email of that flow as the first email of the Autoresponder and be sure you remove that same email from the Drip Flow.  This comment will make more sense when you watch the training video below.  Keep the number of tasks in the Drip Flow to less than 20-30 and do not set more than 200 contacts on the flow at one time during any given day.  This is part of the EngageMore CRM rules of spamming and will prevent you from becoming Mr/Ms Spammer too.  Thank you!

STEPS TO SETTING UP BULK SEND AUTORESPONDERS:

Remember, Autoresponders are how we send bulk drip flow campaigns within EngageMore CRM.  So, if you have a group of more than 1 contact you wish to send or turn on a drip flow campaign, you must create an autoresponder and then send it through Client Touch.  Be sure you have watched all the training on Creating Email Templates, Text Templates, Drip Flows and Client Touch too.  

Autoresponders require one email to get it started and then you will be setting up the rest of the campaign to run from a new or existing drip flow campaign via the Completion Assistant.

HERE ARE THE SIMPLE STEPS TO CREATE YOUR BULK SEND AUTORESPONDER WITH COMPLETION ASSISTANT DRIP FLOW:

STEP ONE:  Determine your Audience and Message

STEP TWO: Determine if you will use an existing drip flow campaign or create a new one

STEP THREE: Create and/or Edit the email template that you want to send FIRST.  The autoresponder requires one email to get the whole campaign rolling.  If you choose to create an Autoresponder from an existing Drip Flow campaign, you will want to look for the first email that is coming from the Drip Flow and either edit or clone that template. 

STEP FOUR:  If you are using an existing Drip Flow campaign, go to the flow and remove (throw in trash) the first email that is scheduled to go from that flow. You will be adding that template to the Autoresponder as the first email.  If you are creating a new drip flow, create the templates and the drip flow without the first email (you will be adding the first email within the autoresponder).

STEP FIVE: Go to the Autoresponders in your settings tab.  Click on Add an Autoresponder

STEP SIX:  Name the Campaign

STEP SEVEN:  Click Add a Step:

STEP EIGHT:  Choose your Email Template (it should be ready to go by now), and leave the days at Zero.  Click Save.

Note: At the advanced button, you can choose to send the flow to someone else, such as a lender.  That person must be added as a contact within your account and opted in to get emails.  Your contact won't get the flow in this instance, just your lender.  

STEP NINE:   Click Completion Assistant and choose the drip flow you want to run (remember, this Drip Flow should be ready to go WITHOUT the first email that is scheduled as it is coming from the first step in your Autoresponder instead, right?)   If you create your Drip Flow with all the flags, sources, status, notes, at the start of your drip flow (as all of our campaigns have been build within EM) etc... you DO NOT need to add any of that information here at this stage, so just choose your drip campaign from drop-down and click SAVE.   Your Autoresponder Bulk send is ready!!!  

STEP 10:   Run a search for the contacts you wish to send this Autoresponder to and Send them to Client Touch:

STEP 11:  Click Autoresponder and choose your Autoresponder you wish to send from the drop-down and Apply it. Once you apply it, it's going to run immediately, so be ready!  The first email will send pretty much immediately and from experience, you will expect the Drip Flow competition assistant to kick in and start running usually within 15-20 minutes from then.  The timing of your Drip Flow for the start of the next items to send or complete will be of note as you turn it on. If the first text is scheduled to go today, then it will send within 15-20 minutes.  Be ready to respond!!!  Have fun and good luck!
